CALLANETICS® INSTRUCTOR LICENCE INFORMATION
The initial INC membership and licence period runs for 12 months from the date of course purchase, not the date of course completion. Purchase alone does not authorise teaching. Learners may teach CALLANETICS® classes only after successfully completing the required assessments and while their INC membership and licence are current. Completion does not restart or extend the initial 12-month period. Use of trademarks and teaching rights are subject to the Instructor License Agreement. Prior written approval is required for press representation and conference or convention presentations involving continuing education credits.

The first 12 months of INC membership are included with course purchase. Membership provides access to the training and member resources. Successful assessment establishes certification; an active licence is required to teach and use the CALLANETICS® trademarks. Certification and permission to teach are distinct.

CANCELLATION POLICY
On-demand training fees are normally non-refundable, subject to applicable statutory cancellation rights and remedies for faulty content or services. Nothing in these terms excludes mandatory consumer rights. Where an applicable cancellation period exists, any loss of the right to cancel digital content requires the legally required express consent, acknowledgement and confirmation; accepting these terms alone does not establish that those requirements have been met. Requests should be emailed to info@callanetics.com. Any service element is subject to its applicable cancellation rules.

In-Person / LIVE Virtual Instructor training: If you cancel your registration within 30 days of the Instructor Training date, you may receive a refund upon written request. Please submit refund requests to info@callanetics.com. A $50 processing fee will apply. PPL may cancel due to circumstances beyond its control such as illness or accident of the CALLANETICS® Master Trainer, travel cancellations beyond our control or low enrolment. In that event, you will not be charged a processing fee for a date or location transfer or you may opt to receive a full refund of the cost of the training that was cancelled. However, in no event will PPL be responsible for travel expenses or losses resulting from the cancellation of the training. Any processing fee or exclusion applies only to the extent permitted by applicable law and does not limit statutory rights.

LOCATION AND DATE TRANSFERS
If you book a live training and are unable to attend, you have one year (12 months) from the date you submitted your registration form (for the original instructor training) to transfer your fees to another instructor training (if space is available) by contacting us at info@callanetics.com. Please note that you cannot transfer your fees to another person. A $20 USD (subject to change) processing fee will be charged at the time of the transfer and you will incur any applicable increases in price. No credits or refunds will be issued if more than 12 months have passed since your original registration.

FITNESS EDUCATION/CERTIFICATION REQUIREMENTS
PPL does not mandate that a participant in a CALLANETICS® Licensing Program have a professional certification or license. It is your responsibility to be informed of, comply with, or obtain any regulatory, tax, fitness or educational requirements, qualifications, certifications or licenses needed to conduct business or teach CALLANETICS® classes according to the laws and regulations where you conduct business or teach, or any requirements mandated by your employer.

SEVERE WEATHER POLICY
PPL and the training host facility may, in their sole discretion, decide to cancel a live training due to severe weather conditions. If a training is cancelled, the participants will be notified at the earliest possible time prior to the training and informed about their options relating to transfers and refunds. Participants should not take any risks to their safety to attend the training. In no event will PPL be held responsible for travel expenses incurred or lost due to severe weather conditions.

PERSONAL INFORMATION
In order to maintain the quality and value of the Licensing Program and the INC™ Program, PPL may provide your personal information, including, but not limited to your name and email address, to third parties solely for the purpose of them sending you surveys and questionnaires on behalf of PPL. The provision of such information shall be governed by the PPL privacy policy, which is available on www.callanetics.com. By registering for a Licensing Program, you consent to PPL providing your personal information, as described above, to such third parties.

AGE REQUIREMENTS
The minimum age requirement is 18 years.

HOW TO REMAIN AN ACTIVE CALLANETICS® INSTRUCTOR
The initial membership and licence period lasts 12 months from course purchase. The current renewal fee is USD $150 per year. Under the current first-renewal process, the initial period expires without an automatic renewal charge; the Renew option becomes available upon expiry. Subsequent annual renewals may be automatic if the member expressly selects that option. The account and renewal confirmation show the selected arrangement. Members may disable automatic renewal before the next charge. Training access and permission to teach require current membership; teaching also requires successful assessment. There is no fixed assessment completion deadline, but continuing access requires current membership.

If you cancel your INC™ membership and wish to resume teaching CALLANETICS® classes at a later date, you must reactivate your INC™ membership by paying the applicable INC™ renewal fee. For assistance, contact info@callanetics.com.

Teaching CALLANETICS® classes or using the licensed trademarks without a current licence is not authorised under the Instructor License Agreement. Members may reactivate by paying the applicable renewal fee, subject to that agreement.

RELATIONSHIP WITH LEARNER POLICIES
The procedures in Part B apply to training complaints, assessment appeals, adjustments and safeguarding concerns independently of licence dispute provisions. No term prevents a good-faith concern or lawful report. Mandatory statutory rights remain unaffected. Amendments will be version controlled and communicated; material changes will not be used retrospectively to remove accrued rights.

PART B LEARNER POLICIES AND PROCEDURES

These policies apply to learners, assessors, tutors, contractors and anyone acting for Precious Peach Ltd. in training delivery. Benjamin Davis is the policy owner and safeguarding lead. Contact info@callanetics.com. Policies are reviewed at least annually and sooner following significant incidents, material changes or new requirements. The current policies are available before purchase and throughout enrolment; accessible formats may be requested.

Independent review arrangements: where an appeal or escalated complaint requires independent consideration, PPL will appoint a suitably competent person who was not involved in the original decision and has no conflict of interest. The learner will be informed of the reviewer’s name, role and contact arrangements within 10 working days of the request and before the review begins. PPL will arrange and fund the review; no standing appointment is represented. Requests may be sent to info@callanetics.com marked Independent review request, including where Benjamin Davis is the subject of the complaint. Benjamin may facilitate appointment and transfer of records but will not determine the independent outcome. If appointment is delayed, PPL will explain the reason and revised timetable without removing the right to review. Safeguarding is led by Benjamin Davis; direct external reporting routes in section 7 are available without his permission or involvement.

1 Equality Diversity and Inclusion Policy

We aim to provide fair access, respectful treatment and consistent assessment. We do not tolerate unlawful discrimination, harassment or victimisation. We consider the protected characteristics under the Equality Act 2010 where applicable, including age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex and sexual orientation. Lawful eligibility requirements, including the minimum enrolment age of 18, remain applicable.

Learners are assessed against published competence and safety criteria. We will consider accessible formats, communication needs, language support and reasonable adjustments individually, without assumptions about ability. Practical assessment may be delivered in a language other than English where reliable assessment can be arranged. We will explain any limits before an assessment proceeds.

Learners, tutors and assessors must treat others respectfully and avoid discriminatory content or behaviour. Report concerns to info@callanetics.com under section 4; concerns about Benjamin may be marked Independent review request so an uninvolved reviewer can be appointed under Document control. Immediate safeguarding risks follow section 7. Reports are handled sensitively and good-faith reporting must not lead to retaliation. The policy owner reviews feedback and barriers quarterly and records improvements; sensitive equality information is collected only where necessary and lawful.

2 Quality Assurance Policy

The policy owner is accountable for course accuracy, learner support and fair assessment. Before delivering or materially revising a course, we check learning outcomes, content, resources, accessibility, assessment coverage and assessor competence. Assessors must have relevant CALLANETICS® expertise and suitable assessment competence, with development needs reviewed annually. Conflicts of interest must be disclosed and managed.

Written quizzes and practical assessment are assessed against documented criteria made available to learners. Practical decisions must record the criteria met, development required and reasons for the result. Learners receive constructive feedback and may resubmit. Standardisation means assessors compare their interpretation of criteria using common evidence; moderation means reviewing actual decisions for fairness and consistency. Where only one assessor is active, a competent second reviewer must be arranged for the scheduled moderation and appeals.

At least annually and after material assessment changes, assessors review common examples and record agreed interpretations. Quarterly sampling covers at least 10% of practical decisions, rounded up, with at least one decision where assessments occurred, plus all appeals and identified high-risk or borderline decisions. The policy owner records the sample, reviewer, findings and corrective actions. New assessors have their first three practical decisions reviewed by a competent second assessor before results are confirmed. Sampling increases when errors or inconsistent decisions are identified.

We review learner feedback, progress, outcomes, complaints, adjustments and technical issues quarterly. Feedback is invited after completion and when a learner withdraws. Actions have an owner, deadline and follow-up check. Appendix 1 sets out the schedule. No review or training activity is represented as completed until evidence exists. Certificates are issued only after required assessment evidence and decisions are checked; errors are corrected with an audit trail.

3 Reasonable Adjustments and Special Consideration Policy

Reasonable adjustments address an ongoing access need, including disability, so learners can demonstrate the same essential competence. Special consideration addresses temporary circumstances such as illness, injury, bereavement or serious disruption affecting assessment. Neither permits certification without sufficient evidence of competence or waiver of essential safety requirements.

Email info@callanetics.com before assessment wherever possible, explaining the barrier and support requested. For unexpected events, contact us as soon as reasonably possible, normally within 10 working days of the affected assessment; later requests are considered where circumstances explain the delay. We ask only for proportionate relevant evidence and do not require a medical diagnosis where the need can reasonably be established otherwise.

Possible arrangements include accessible documents, adjusted presentation formats, additional time where a task is timed, assistive technology, a suitable alternative assessment arrangement, or deferral and a fresh attempt after temporary illness. Ordinary self-paced study and permitted retakes remain available. Any alternative practical arrangement must still show effective teaching, observation, correction and safe interaction with participants. A change to format is not a reduction in the competence required.

We acknowledge requests within 5 working days and normally give a reasoned written decision within 10 working days of receiving sufficient information. We agree arrangements before use, record their effect on validity and confidentiality, and explain any alternative if a request cannot be granted. No additional charge is made for a reasonable adjustment required by applicable equality law. A refusal may be appealed under section 5. Approved arrangements must also clarify any effect on membership expiry or fees; an extension is not automatic.

4 Complaints Policy

This procedure covers service, communication, access, conduct and course delivery. Assessment decisions follow section 5; safeguarding concerns follow section 7 immediately. Anyone may complain without retaliation. A representative may act with the learner’s consent. We accept accessible alternatives to a written complaint and consider anonymous information where it can be investigated.

Stage 1: Email info@callanetics.com with the issue, relevant dates and desired resolution. We try to resolve straightforward concerns informally within 10 working days. A complainant may proceed directly to the formal stage.

Stage 2: Mark the message Formal complaint and include supporting evidence. We normally ask for complaints within 3 months of the event or discovery, but consider later complaints with reasons. We acknowledge within 5 working days. An appropriate person investigates, seeks relevant accounts and issues a written outcome with reasons and any remedy normally within 20 working days of acknowledgement. If delayed, we explain why and provide a revised date and updates at least every 10 working days.

Stage 3: Request review within 15 working days of the outcome, identifying unresolved issues, procedural errors or new evidence. A suitably competent reviewer independent of the matter and original decision considers the evidence. The reviewer’s identity and contact arrangements will be supplied when appointed, as described under Document control. The review is normally concluded within 20 working days, with written reasons and any corrective action. Complaints involving Benjamin proceed to this independent stage, with appointment arranged under Document control.

We keep a confidential record and monitor recurring issues. Remedies may include an explanation, correction, apology, access restoration or an appropriate refund where justified. The final response explains any applicable external route. CIMSPA is not represented as a general appeal body or refund service; any referral depends on its remit and the provider’s status. Statutory rights and access to competent authorities remain unaffected.

5 Appeals Procedure

Learners may appeal an assessment decision, refusal of an adjustment or special consideration, or a malpractice outcome. Grounds include incorrect application of published criteria, procedural unfairness, an unmanaged conflict or bias, failure to apply agreed adjustments, or relevant new evidence. A free reassessment opportunity does not remove the right of appeal.

Email info@callanetics.com within 15 working days of the decision, stating the decision challenged, grounds, evidence and requested outcome. Reasonable extensions are allowed where justified. We acknowledge within 5 working days, preserve the original assessment evidence and decision record, and check for an administrative error. If corrected, we explain the correction; otherwise the appeal proceeds to independent review.

A suitably competent person who did not make or contribute to the original decision and has no conflict reviews the evidence and relevant criteria. They may request clarification or a further assessment where justified. The learner may provide a statement and use a representative or access support. There is no fee for an appeal. PPL provides the reviewer’s direct contact where the appeal concerns Benjamin.

A written outcome is normally issued within 20 working days of acknowledgement, giving reasons, findings and any action. Outcomes include upholding the original decision, correcting an error, arranging reassessment by another assessor, or applying an appropriate adjustment. No automatic pass is awarded without evidence. Delays are explained with updates at least every 10 working days. The outcome explains any applicable external route and statutory rights. Appeal records feed into quality monitoring.

6 Maladministration and Malpractice Policy

Maladministration includes avoidable administrative errors, missing records, incorrect certificates and failures to follow procedures. Malpractice includes deliberate or reckless conduct undermining learning, assessment or certification: impersonation, fabricated or edited evidence presented as an authentic continuous assessment, plagiarism, undisclosed assistance, improper use of AI to replace the learner’s assessed work, assessor collusion, bribery, discriminatory marking or falsification of results. Permitted study tools and approved access support are not automatically malpractice.

Report suspected issues promptly to info@callanetics.com with available evidence, marked Independent review request if Benjamin is implicated, so an uninvolved reviewer is appointed under Document control. We preserve evidence, assess immediate risk and appoint a person without a conflict to investigate. A person concerned receives the allegation and relevant evidence, subject to lawful safeguarding and confidentiality limits, and normally has 10 working days to respond. We consider explanations and do not assume an allegation is proven.

A reasoned outcome is normally issued within 20 working days of acknowledgement; delays are explained. Findings are made on the balance of probabilities. Proportionate actions may include correcting records, further training, a warning, reassessment, invalidating affected evidence, or suspension or withdrawal of certification where justified. Interim restrictions are protective, limited and reviewed, rather than a presumption of guilt. Relevant bodies are notified where required by law or partnership obligations, and affected learners are informed appropriately. Decisions may be appealed under section 5. Root causes and corrective actions are recorded and reviewed.

7 Safeguarding and PREVENT Policy

Our training enrols adults aged 18 or over. Safeguarding covers learners, staff, contractors and people participating in training or assessment, including adults at risk and any children encountered through a concern. Adult enrolment does not remove safeguarding responsibilities. This policy addresses physical, sexual, emotional and financial abuse, neglect, coercion, exploitation, harassment, online abuse and susceptibility to radicalisation into terrorism.

The safeguarding lead is Benjamin Davis at info@callanetics.com. PPL does not currently have a standing deputy or external safeguarding adviser. Where specialist advice or independent handling is needed, PPL will seek support from an appropriate external professional or statutory service and inform the person raising the concern of the relevant contact arrangements as soon as these are established. This must not delay protective action or referral. Where the concern involves Benjamin, or reporting to him would be unsafe, report directly to the local authority safeguarding service or police as described below; no internal permission is required. All involved in delivery must understand reporting arrangements and complete role-appropriate safeguarding and Prevent awareness learning before taking responsibility, with annual updates. Relevant recruitment checks are assessed by role and legal eligibility; this policy does not claim that DBS checks have already been completed or are required for every role.

Report concerns promptly, without waiting for proof. In immediate danger in the UK, call 999; elsewhere use local emergency services. For non-emergency concerns contact the safeguarding lead, who assesses urgency on receipt, records facts and decides protective action and referral without avoidable delay. Do not wait for an email response in an emergency. Anyone may contact the relevant local authority children’s or adult safeguarding service or police directly, particularly where the concern involves the lead, there is no timely response or internal reporting is unsafe. Allegations involving work with children should be referred to the relevant local authority designated officer where applicable.

Listen calmly, take disclosures seriously, record the person’s own words, and explain that relevant information may need to be shared for protection. Do not promise secrecy, ask leading questions, investigate suspected crimes yourself or confront an alleged perpetrator. Record dates, people involved, evidence, decisions, referrals and follow-up securely. Share information only with those who need it, on a lawful basis; seek consent where appropriate, but do not allow seeking consent to delay necessary protection or a lawful referral.

For online activity, use professional communication channels, appropriate boundaries and secure account access. Assessment participants must give informed consent to filming and understand the intended audience and platform. Use adult participants unless a specific safeguarding arrangement has been approved in advance. Assessment recordings must not be public. An unlisted link can be forwarded and is not equivalent to restricted access; learners should request an approved more restricted transfer route if needed. Do not include unnecessary personal or health information in recordings.

Prevent concerns are safeguarding concerns about a possible pathway into terrorism. We respond to evidence and behaviour, not stereotypes, religion, ethnicity, lawful political views or disagreement. Where there is a credible concern, the lead seeks advice from the relevant local Prevent team or police and uses the current referral process where appropriate. In an immediate threat, contact emergency services. If referral is not appropriate, consider other welfare support and document the reasons. The policy is a proportionate commitment; it does not assert that PPL is a specified authority under the statutory Prevent duty.

The lead reviews safeguarding risks before new delivery arrangements, annually and after incidents, considering remote learning, isolation, communications, assessment participants, overseas delivery and online material. Actions may include removing harmful content, restricting contact, obtaining specialist advice or pausing activity. Concerns are followed up to check safety and whether further action is needed. Relevant statutory agencies take priority over an internal investigation.

Records privacy and retention

PPL retains only information necessary for delivery, fair decisions, safeguarding and legal obligations, with access restricted by role and secure storage. Assessment decisions, complaints, appeals, adjustment decisions, moderation and malpractice records are normally retained for 3 years after the final decision or course completion, whichever is later; records subject to a live dispute are preserved until resolved. Unnecessary health evidence and raw recordings should be deleted sooner when their purpose is complete, normally within 12 months after the final assessment or appeal, subject to a documented reason for longer retention. Certification records may be retained longer to verify awards, with the basis and period set out in the privacy notice. Safeguarding records require a separate documented case-specific retention decision reflecting statutory guidance and agency advice; they must not be deleted under the ordinary assessment timetable. These arrangements are applied consistently with the privacy notice and the storage controls available on the relevant platforms.

These are rounded estimates; individual learning time varies. Breaks, additional Master Class repetitions, teaching rehearsal, practical assessment preparation, the 10–15 minute practical submission and retakes may require further time and are excluded from this estimate.

Practical assessment arrangements: a continuous unedited recording should show teaching, observation and correction of at least two students. Phone filming and assessment in a language other than English are permitted where reliable assessment is arranged. Warm-up is optional and no music should be used. Submit through the approved dashboard route using the current recording instructions; a YouTube submission must be unlisted, use the membership number and omit CALLANETICS from its title and description. Obtain participant consent and offer a more restricted approved route where necessary. Live online assessment is acceptable where the continuous recording provides the required evidence. Learners receive feedback and may retake without a fixed attempt limit. Any agreed adjustment must preserve essential competence.
